TERMS AND CONDITIONS
These are the Terms & Conditions that will apply to each and every person registering and/or being registered as a participant for the event in question (Hereinafter referred to as “EVIDENCE 2023"). As a registering attendee of EVIDENCE 2023, you will need to acknowledge and accept the below-stated Terms & Conditions.
REGISTRATION
It is important that all attendees that wish to attend the event complete their online registration form prior to attendance. Registrations can only be submitted online through the event registration portal. Participants submitting this registration commit to attending the event and should adhere to doing so on a given event date.
PAYMENT
An Invoice/Receipt is issued upon completion of the online registration for the event. The registration system will send an automated email with an Invoice/Receipt to confirm the receipt of your online registration.
METHODS OF PAYMENT
This is a pre-paid event. Only pre-paid participants will gain access to attend Evidence 2023 in Uganda Entebbe. Upon completing your events registration, an automated email with an Invoice will be emailed to you. You can process an electronic funds transfer (EFT) to the banking details displayed on the Invoice. All bank charges will be for your own account.
Any name change/replacement can be made to an existing registration until one week before the Event. A new online registration is NOT required for the substitution of replacing a registrant/participant. Name changes will be accepted by email only and should indicate the old and new names and any information related to the category of registration.
CANCELLATION
No refunds or credit will be given to delegates who are not able to attend the Event. In the case of overpayment or double payment, refund requests (including all relevant information regarding the bank account and any required supporting documents if applicable) must be submitted in writing to the Event Registration Team, by email.
CANCELLATION OF EVENT
The AEN is not liable for any damages or claims, whether financial or otherwise, in the event of Evidence 2023 being cancelled or is postponed due to causes beyond its control or the control of the hosts and the organizers or their suppliers (incl. force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the host and the organizers or their suppliers, neither the host nor the organizers or their suppliers can be held liable for any damages, costs, or losses incurred, including financial losses, etc.
MODIFICATION OF THE PROGRAMME
The host and the organizers reserve the right to modify the program if necessary at any time due to unforeseen circumstances.
LIABILITY
The event host and the event organizers shall be held liable in the framework of a duty of care as a respectable business according to statutory provisions. The liability of the event host and event organisers - for whatever legal reason - shall be limited to intent and/or gross negligence. The liability of commissioned service providers shall remain unaffected by this. The registrant will take part in the event at his/her own discretion and risk. Oral agreements will not be binding unless confirmed in writing by the event host or the event organiser.
FULFILLMENT AND JURISDICTION
These terms & conditions for registrants and the rights of the parties hereunder will be governed by and construed in accordance with the laws of the Republic of South Africa, without regard to choice of law rules. Any dispute, controversy or claim arising out of, or in relation to, these terms and conditions will be resolved by arbitration.
PRINCIPLES AND VALUES
Evidence 2023 encourages debate and dialogue as key elements of participation among all participants, including delegates, sponsors, speakers and exhibitors.
All participants are expected to adhere to the following principles and values:
- Be respectful and considerate.
- Be mindful of words chosen and how they may affect others.
- Be patient.
- Speak freely, and when in disagreement, try to understand the perspectives of others. This list is not exhaustive but describes key principles to be taken in the spirit intended. It is a guide for mutually respectful and open participation in the event.
The event organisers oppose:
- Disruption of interactive spaces that results in the inability for dialogue and debate to take place.
- Any actions perceived to contain threat of force or verbal harassment.
- Cyberbullying or trolling.
These principles and values apply to all parts of Evidence 2023 including presentation sessions, networking sessions, exhibitions, and online functions. The principles guide all communication and conduct in these spaces, including emails, chats, slides, videos, signs or any images displayed in these spaces and interactions. In addition, egregious violations of these principles outside these spaces may, in rare cases, affect a person’s ability to participate within them.
TERMS OF USE
Registered participants agree that they will not interfere with the proper working of the event, nor use the online platform:
- For any illegal purpose and cybercrime.
- In conflict with any applicable law, cybersecurity ordinance, rule or regulation of any governmental authority.
- In conflict with any applicable data security and protection laws.
Participants further agree to adhere to the principles and values of the event as outlined above. In practice, this means that registered participants:
- You may not threaten violence against an individual or a group of people. We also prohibit the glorification of violence.
- You may not promote violence against, threaten or harass other people on the basis of race, ethnicity, national origin, caste, sexual orientation, gender, gender identity, religious affiliation, age, physical or intellectual disability, profession or disease.
- You may not publish or post other people's private information (such as identifying features, such as home phone number and address) without their express authorization and permission.
- You may not threaten or promote terrorism or violent extremism.
- You may not engage in the targeted harassment of someone or incite other people to do so. This includes expressing a wish or hope that someone experiences physical and/or mental harm.
- You may not impersonate any other person or entity or submit any false, defamatory, offensive, harassing material or any material that violates another party’s rights of privacy and publicity.
- You may not publish offensive, untrue or illegal material.
- You may not submit unsolicited bulk or commercial messages (“spam”) to users. Any unsolicited message must also not direct the recipient to any third-party site or other resources.
- You may not groom another individual and/or offer or solicit inappropriate behaviour through the event platform.
INDEMNIFICATION AND WAIVERS OF LIABILITY
EVIDENCE 2023 (hereinafter referred to as "the Event") is the Africa Evidence Network’s (AEN) flagship event, designed to foster knowledge exchange and collaboration among its members and stakeholders alike. The event will be held in Entebbe Uganda from 13 to 15 September 2023, preceded by satellite meetings. While every effort has been made to ensure a safe and enriching experience, it is important for all prospective attendees to read, understand and subscribe to the following:
- Uganda Local Customs, Rules, and Laws: The AEN, its associates, affiliates, funders or service providers (jointly referred to hereinafter as “the Organisers”) are not liable or responsible for any violations of local customs, rules, and laws by the Event attendees during their stay in Uganda. It is the sole responsibility of each attendee to familiarize themselves with the local customs, rules, and laws of Uganda prior to attending the Event. This includes but is not limited to understanding and complying with cultural norms, behavioural expectations, legal requirements and adherence, and any restrictions that may be applicable.
- Individual Responsibility: Each attendee is solely responsible for their own actions and behaviour while in Uganda. The Organisers shall not be liable for any individual attendee's actions, behaviours, or any consequences that may arise as a result of such actions. Attendees are expected to exercise good judgment, respect local customs and traditions, and comply with all applicable laws and regulations.
- Indemnification: By registering for and attending the Event, attendees agree to indemnify and hold harmless the Organisers from any claims, liabilities, damages, losses, or expenses (including legal fees) that may arise as a result of their actions, behaviours, or non-compliance with Ugandan customs, rules, and laws.
- Advised Preparations: The Organisers strongly advise all prospective attendees to acquaint themselves with the local customs, rules, and laws of Uganda well in advance of their visit. This includes researching relevant information, consulting with appropriate authorities, and seeking guidance from reliable sources. Attendees are encouraged to be mindful of cultural sensitivities, prevailing laws and regulations, acceptable behaviour and use of language (whether written or spoken) and exercise caution to ensure a respectful and enjoyable experience during their stay in Uganda.
- Limitation of Liability: The Organisers shall not be liable for any damages, losses, or injuries (including but not limited to personal injury) incurred by attendees during their stay in Uganda, regardless of whether such damages, losses, or injuries are caused by negligence, breach of contract, or any other legal theory and to review your insurance policies and medical cover to ensure that you are adequately covered for all eventualities during your trip to Uganda.
By registering for and attending EVIDENCE 2023, you acknowledge that you have read, understand and agree to clauses 1 to 5 above.
DISCLAIMER
All reasonable efforts will be made to ensure that the event takes place on the specified date and time. Should the event not occur on the specified date and time, an alternative date and time will be scheduled. The host reserves the right to substitute speakers where events beyond its reasonable control prevent speakers from appearing.
